Office Manager – Human Resources and Payroll
The Office Manager reports to the Owners of Beacon Law Centre. The Office Manager is responsible for oversight of administrative requirements and human resources for the Sidney, Brentwood, and Royal Oak Offices for the Firm. Specifically, the Office Manager is responsible for:
- Creating and supporting a work environment that is professional, inclusive and positive
- Providing support and assistance to all lawyers and support staff
- Ensuring personnel comply with Beacon Law Centre policies and procedures
- Administration of personnel records
- Administration and oversight of all operating requirements
Duties:
- Maintenance of personnel files
- Processing of bi-weekly Payroll
- Processing of Records of Employment
- Vacation scheduling
- Administration of personnel benefits
- Recruitment and onboarding of employees
- Coaching and mentoring of employees
- Password maintenance
- Administering and updating the Beacon Law Centre Handbook
- Meeting with personnel on a consistent basis to provide constructive feedback and to provide acknowledgement for good performance
- Advertisements for the Firm
- Banking arrangements on behalf of the Firm
- Wire transfers
- Event planning
- Procurement of supplies and services
- Oversight of insurance requirements for the Firm
- Facilities management
Supervisory Responsibilities:
The Office Manager is responsible for day-to-day management of support staff.
Qualifications:
- Human Resources Certificate and minimum 5 years of experience in a relevant field or a combination of both
- Proficient at word, excel, outlook, adobe and PCLaw and/or relevant accounting software
- Good understanding of the BC Employment Standards Act
- Familiarity with the BC Law Society Trust Accounting
- Strong attention to detail
- Strong written and verbal communication skills
- Strong analytical and problem-solving skills
- Excellent customer service
- Ability to work independently
- Ability to maintain a cheerful outlook and to assist in creating a positive environment for employees

Bookkeeper
The Bookkeeper reports to the Owners of Beacon Law Centre. The Bookkeeper is responsible for oversight of all bookkeeping and recordkeeping for the Sidney, Brentwood and Royal Oak Offices for the Firm. Specifically, the Bookkeeper is responsible for:
- Maintaining current accounting records
- Trust banking, general banking and bank reconciliations
- Processing of wire transfers
- Assisting with collections
- Customer service
- Archiving files and records management
- Coaching and mentoring of employees
- Assisting lawyers and support staff as required
Duties:
- Daily back up of legal software system
- Law firm billings and receipts
- Accounts payable
- Filing of GST and PST
- Payment of rents and strata fees
- Assist with collection of past due accounts
- Monthly reporting to lawyers of the firm
- Monthly billing for rents to tenants
- Handling calls and requests from customers and suppliers
- Updating the Law Firm’s budget
- Quarterly and annual reporting to the Law Society of BC
- Assist with maintaining current administrative policies and procedures
- Provide in the moment coaching and constructive feedback
- Prepare annual CDIC Letters and trust reports for all banks
- File Annual Worksafe BC Report and pay premiums
- Pull annual file destruction report, ensuring files are pulled for destruction
Qualifications:
- Certificate in Bookkeeping and minimum 2 years of experience in a relevant field or a combination of both
- Banking and/or law firm experience is considered an asset
- Proficient at word, excel, outlook adobe and PCLaw and/or relevant accounting software
- Familiarity with the BC Law Society Trust Accounting
